For a long time, the price of custom software came down to one figure: the development quote. It arrived after several meetings, a specification document and a few weeks of waiting. That figure looked complete. It was not.
Behind the quote came the hosting, invoiced separately. Then the maintenance, often negotiated afterwards. Then every evolution, handled as a new project with its own quote. And a quiet dependence on the one provider who alone knew the code.
The total was never written on a single page. The manager discovered the real cost over the years, line after line. That is not a failing of providers; it is the consequence of a model where every brick was sold separately.

The four budget lines of a business application
A modern business application, assembled on a platform, is priced with four lines. All of them can be read in a minute.
- The platform
One licence per person who really works in the software: managers, employees, accountants, technicians. Portal users, your customers or people who log in from time to time do not need a licence.
- The hosting

- The development and the evolutions

What makes the price move, and what does not
Three elements make the budget vary. They are easy to estimate, even without technical knowledge.
- The number of active people: those who open the software every day to work in it.
- The capabilities you choose: managing customers and contacts, selling and invoicing, organising work, producing reports, connecting other software.
- The intensity of use: light, normal or intensive, which sizes the hosting.
Conversely, two elements that often worry people do not weigh on the price. First, the number of your customers’ external users: a portal used by a thousand people does not cost a thousand licences. Second, the number of screens: one more screen is not one more project when the application is assembled with AI.
This distinction changes the way you design. You no longer have to limit what your customers see in order to contain the bill. You choose the capabilities your team needs, and you let the rest grow.
From one customer to a thousand
If your application is a product you sell, the question changes: what does it cost with one customer, with ten, with a hundred? On a platform, the cost follows the customers who really use it. You do not buy the capacity to host a thousand customers before you have one.
The launch happens with a first customer, often your own company or a company close to you. The licences correspond to the active people at that customer. The hosting follows real usage. When the second customer arrives, the lines move, but the structure stays the same.
